Inventory
Turn on inventory
How to turn on inventory for a catalog, what happens to your products when you do, and how to use simple mode day to day.
Quick answer
Go to Settings → Inventory and tap Turn on simple inventory. Products that already have a quantity are controlled with that quantity; those without keep selling without limit until you give them one. From then on Inventory appears in the menu. In simple mode you change quantities on the product sheet or from Inventory, and you can turn it off anytime.
On this page
Inventory comes off in each catalog. If you don't turn it on, your products sell without limit and you can only manually mark the ones that are Out of stock.
Where to turn it on#
- Go to your store and open Settings.
- In the Catalog section, tap Inventory (it says Inventory is off).
- You can also reach it from any product sheet: in the notice Inventory is off for this catalog, tap Turn it on in Inventory.
Note
Only team members with Admin or Seller role see and change inventory.
Choose how to start#
The Keep track of your stock screen shows you before you turn anything on:
- How many products will be controlled: the ones that already have a quantity.
- How many will stay untracked: the ones without a quantity.
Then you pick the mode:
| Simple | Advanced | |
|---|---|---|
| For whom | Recommended to start. | For strict control, with several people moving stock. |
| Where you change quantities | On the product sheet or in Inventory. | Only in Inventory, with a reason. |
| Go back | You can turn it off anytime. | It's permanent. |
Tap Turn on simple inventory. If you prefer advanced from the start, tap Start in advanced and read Switch to advanced inventory.
What happens to your products when you turn it on#
- Products with a quantity: are controlled with the quantity they already had. Each variant gets an Opening movement.
- Products without a quantity: keep selling without limit. They show as Not tracked and in the To set up card until you give them a quantity.
- Your store doesn't change: an unknown quantity never becomes zero, so nothing suddenly runs out.
From that moment, Inventory appears as its own menu button, next to Products, Design, and Settings (on mobile, in the bottom bar).
Simple mode day to day#
From the product sheet#
In Products, open a product:
- Turn on Control stock.
- Write the Quantity. If the product has sizes or colors, a table appears so you can write the quantity for each combination.
- Tap Save.
Always write what you physically have (the on-hand). If there are units reserved by orders, the sheet shows you how many and how many are left available.
From Inventory#
In Inventory you can do the same for many products without opening each sheet: Adjust, Receive stock, and Set up. We explain it in Manage stock.
Give a quantity to untracked products#
In Inventory, tap the To set up card or the Not tracked tab, and tap Set up on each product. Write how many units you have today of each variant (it can be 0) and save.
What the customer sees#
In Inventory → Inventory settings → Show in the store you choose between Available / Sold out (default) or Exact quantity.
Turn off inventory#
In simple mode you can turn it off in Inventory → Inventory settings → Turn off inventory. Shelfkat stops reserving and deducting units, but keeps the quantities and history in case you turn it back on.
Warning
Advanced mode cannot be turned off. If you're unsure, stay in simple: you can move to advanced anytime.
