Manage stock

The Inventory screen step by step: adjust quantities, log incoming shipments, set up new products, low stock alerts, SKUs, movements, and counts.

Quick answer

In Inventory you see your products grouped, with their variants. Adjust fixes the physical quantity for all variants of a product at once and shows you the difference before saving. Receive stock adds what arrived. Set up gives the initial quantity to what doesn't have tracking. Low stock alerts, SKUs, and history are on each product's panel; Movements and Counts have their own tab.

When inventory is on, Inventory appears in your store's menu. At the top there are three tabs: Stock, Movements, and Counts.

Stock at a glance#

  • Mode band: says whether you use Simple inventory or Advanced inventory, with the link How inventory works.
  • Four cards:
    • Available to sell, with the total on-hand below.
    • Reserved for orders.
    • Need restocking: out-of-stock or low-stock variants. Tap it to see which ones.
    • To set up: untracked products. Tap it to give them a quantity.
  • Restock notice: if something is out of stock or running low, a notice takes you straight to View out of stock or View low stock.
  • Tabs: All, Low stock, Out of stock, and Not tracked.
  • Search: by product name, variant, or SKU.

The table shows one product per row, with its available, reserved, on-hand, and status. Tap Show variants to expand its sizes and colors, or tap the product to open its detail panel. On mobile each product shows as a card.

Adjust: fix the physical quantity#

Adjust shows the difference before saving

Use it when the real quantity doesn't match what's in the system (you counted, something broke, there was an error).

  1. Tap Adjust on the product.
  2. You'll see all its variants at once, with the Current quantity.
  3. In New quantity write what you physically have. The Difference column shows you in green what goes up and in red what goes down.
  4. Pick the Reason: Manual edit, Physical count, Correction, or Damage or loss.
  5. Tap Save.

Important

You can't bring a variant below what's reserved: those units already belong to a confirmed order. Deliver or cancel the order first. If a line is not valid, nothing is saved: the adjust is all or nothing.

Receive stock: add merchandise that arrived#

Receive stock adds what arrived

Use it when you get merchandise from your supplier.

  1. Tap Receive stock (top right or on the product's panel).
  2. Search for the product.
  3. Write how many units arrived of each variant (not the total: Shelfkat adds them up).
  4. Pick the reason, for example Supplier purchase or Manual entry, and save.

Set up: give the initial quantity#

Set up gives the starting quantity

Not tracked products (for example, ones you created after turning on inventory without a quantity) sell without limit. To start controlling them:

  1. Go to the Not tracked tab or tap the To set up card.
  2. Tap Set up on the product.
  3. Write how many units you have today of each variant. If you don't have any, write 0.
  4. Save. Each variant gets its Opening and the product goes to In stock or Out of stock.

It works the same in simple and advanced mode. In advanced mode you also do it from the product sheet with Set up stock.

When you tap a product, a panel opens with:

  • Its total On-hand, Reserved, and Available.
  • The Adjust, Set up (if it has untracked variants), and Receive stock buttons.
  • Each variant, with its SKU and available.
  • The latest movements and the View history link.

Low stock alerts#

Next to each variant you'll see No alert. Tap it, write a number, and confirm with ✓. From then on, when available reaches that number or less, the variant goes to Low stock, appears in Need restocking, and if you use WhatsApp inventory, you get a notice.

SKU#

The SKU is the internal code for each variant (for example SHIRT-BLK-M). It's optional, but helps with searching and counting. Variants that don't have one say No SKU.

Tap Generate missing SKUs to have Shelfkat suggest one for each variant that doesn't have one. You can edit them before tapping Save SKUs. A SKU can't repeat within the same catalog.

Movements#

The movements history

The Movements tab is the complete history: date, product, variant, movement type, change (+ or −), resulting on-hand, and who did it. To see just one product, type its name in Filter by product and pick it. From a product's panel, View history opens this tab already filtered.

Counts#

To count your whole shelf at once:

  1. In Counts, tap Download count sheet.
  2. Count physically and write the quantities on the sheet.
  3. Upload it with Upload count file. You'll see, before applying anything, what changes in each variant.
  4. Tap Apply count.

If what you counted matches the on-hand, that line doesn't create a movement. If a difference clashes with reserved units, it stays as pending discrepancy so you can review the orders or count again.

Export#

Export downloads a CSV file with one row per variant: product, variant, SKU, barcode, on-hand, reserved, available, low stock alert, and status.

If you see an error#

  • Someone else updated this variant: another person (or an order) changed the stock while you were editing. Try again: you'll see the new quantity.
  • Quantity can't be lower than what's reserved: look at the Adjust section above.
