WhatsApp inventory

Check and update inventory by writing to your store's WhatsApp from your phone: link your number, approve changes, over-the-counter sales, and low stock alerts.

In WhatsApp → WhatsApp inventory, an Admin turns on the feature and picks how changes are approved. Each team member taps Link my WhatsApp and sends VINCULAR with the 6-digit code to your store's WhatsApp from their phone. After that they can write things like "5 black M t-shirts arrived" or "sold 2 caps": the assistant prepares the change and it applies when someone authorized answers APROBAR with the code.

With WhatsApp inventory, you and your team can check and update stock by writing to your store's WhatsApp from your personal phone, without opening the panel.

What you need#

  • The store's WhatsApp connected (WhatsApp → Connection).
  • The assistant in the panel active.
  • A plan that includes WhatsApp.
  • Inventory turned on in the catalog.

Each message the assistant interprets uses AI credits. Fixed commands (AYUDA, APROBAR, etc.) don't use credits.

Turn it on#

The WhatsApp inventory page

An Admin goes to WhatsApp → WhatsApp inventory:

  1. Review the Status: store connected and assistant active.
  2. Turn on Operate inventory over WhatsApp.
  3. Pick the Approval option (see below) and tap Save.

Each person links their own number:

  1. In WhatsApp inventory (or in Team), tap Link my WhatsApp.
  2. A 6-digit code appears that expires in 10 minutes.
  3. From your phone, send VINCULAR 123456 (with your code) to your store's WhatsApp.
  4. The card changes to Linked with your number.

Note

The store's number can't be linked: it's the one that receives the messages. Messages from a linked number don't create customer contacts or conversations.

What you can write#

Write like you talk:

  • "How many black M t-shirts are left?" or "What's running out?": queries; the assistant answers you directly.
  • "5 black M t-shirts arrived": an incoming shipment.
  • "I counted 12 red caps": a count.
  • "Sold 2 caps": an over-the-counter sale. Creates an order marked Counter in Orders, already delivered, that deducts from stock like a store order.
  • "Alert me when 3 caps are left": a low stock alert.

The assistant finds the product even if you don't write the exact name (no accents, singular or plural: "black" finds "Black"). If there's doubt between several products, it asks.

Approve changes#

Queries don't need approval. Changes are prepared as a proposal and the assistant answers you with a code. Nothing changes until someone authorized answers:

  • APROBAR <code> to apply it, or
  • RECHAZAR <code> to reject it.

Anyone linked can propose; only members with Admin or Seller role can approve. Proposals also show up in Proposals in the panel.

In Approval the Admin picks between:

Low stock alerts#

Every day at 8:00 AM (Colombia time), linked members with Admin or Seller role get a summary of variants that hit their alert. Set alerts in the panel for each product in Inventory (see Manage stock) or on WhatsApp.

  • You: send DESVINCULAR or tap Unlink on your card.
  • An Admin: in Linked members, tap Revoke next to the person.
