Inventory
Switch to advanced inventory
What changes and what doesn't when you move from simple to advanced inventory, when to do it, and how to do it step by step.
Quick answer
In Inventory, on the Simple inventory band, tap See advanced mode. Review the comparison, check the box, and tap Switch to advanced. Your quantities, orders, and store stay the same; from then on quantities only change from Inventory (Adjust, Receive stock, Set up, or Counts) and every change has a reason. It's permanent: you can't go back to simple or turn it off.
On this page
Advanced mode is for when you need to know why every number changed: several people move the stock, you do physical counts, or you want to keep someone from changing a quantity by mistake from the product sheet.
What changes#
| Simple | Advanced | |
|---|---|---|
| Where you change quantities | On the product sheet or in Inventory. | Only in Inventory: Adjust, Receive stock, Set up, or Counts. |
| Reason for every change | Changes from the sheet are saved as "manual edit". | Always: purchase, count, damage, correction… |
| Remove a size or color with units | Its units are deducted automatically. | First set it to zero with an adjustment. |
| Go back | You can turn it off anytime. | You can't go back to simple or turn it off. |
What doesn't change#
- The quantities you have today.
- Your orders and their reservations.
- What the customer sees in the store.
- Low stock alerts and the history of movements.
How to switch to advanced#
- Go to Inventory.
- At the top you'll see the Simple inventory band. Tap See advanced mode.
- Read the comparison between the two modes.
- Check the box I understand I won't be able to go back to simple mode or turn inventory off for this catalog.
- Tap Switch to advanced.
The band changes to say Advanced inventory and the date you started using it.
Warning
It's a permanent change for that catalog. If you have doubts, try it first with another catalog or stay in simple: everything else (Inventory screen, movements, counts, alerts) also works in simple mode.
The product sheet in advanced mode#
On the sheet there are no quantity fields anymore. You'll see:
- This product has stock control, with the quantity for each variant (read-only).
- The Edit stock button, which opens the same Adjust dialog without leaving the sheet.
- If the product still has no quantity, the Set up stock button to give it the initial quantity.
New products in advanced mode#
A new product is born untracked. To give it a quantity you don't need a spreadsheet:
- From its sheet, tap Set up stock; or
- In Inventory → Not tracked, tap Set up.
Write how many units you have of each variant (can be 0) and save. Each variant gets its Opening and the product is now controlled.
Start directly in advanced#
If inventory is off, on the Keep track of your stock screen you can tap Start in advanced. You'll see the same comparison and the same box before confirming with Turn on advanced.
